Quickstart guide

Navigation and in-page tabs

Web AWB Editor is a single page web application, so you should not use the browser's navigation arrows to go forward or backwards. If you try to use them, or navigate away from the page or close the window/tab and you have any unsaved document you will get a warning and the chance to cancel the action.

There are in-page tabs to navigate within the application through the menu and the opened documents - typically the tabs will look like this:

  1. Menu: shows the main menu, this is what you see when you open the web application
  2. New: this is a convenience quick link to the menu's "New Document" item
  3. Open: this is a convenience quick link to the menu's "Open" item
  4. Documents: these are open documents, you can have several documents opened at once

Documents have their own menu on the left where you can find the actions related to the document, for example save, print, etc.

Saving and opening documents

To save a document just use the "Save" button in the document's menu on the left.

To open a document use the "Open" quick link on top, or the "Open" item in the menu. You will be show the list of all the recent documents. These are the most important items in the list:

  1. Search: search for a document by the number or its content
  2. Date: filter the document by date
  3. Delete: you can delete a document from here
  4. Trash bin: open the trash bin - when a document is deleted in fact it is moved to the trash bin, to fully delete it you will have to also delete it from the trash bin
  5. Paging: use the bottom paging to move between the pages, typically you will get up to 50 items per page

Printing documents

Before printing a document you can optionally preview it to see how it will look like. To preview a document just use the "Preview" button on the left.

To print a document just click on the "Print" button on the left and follow the steps. When you print a document in fact you will get a PDF to print using your local PDF reader or the browser's embedded PDF reader.

Printing AWBs

When printing AWBs you will see several options. To print an AWB first select how you would like to print the AWB, there are two options:

  • On blank A4 or US Letter sheets using a laser printer, airlines accept this kind of print even printing only in blank. This is the simplest way to print AWBs
  • On pre-printed forms using a dot matrix/impact printer

After selecting the type of paper the options will change:

On blank A4 or letter paper

Here you will mainly select the paper size, which copies to print and whether or not to print the conditions on the reverse. Note that in general you will have to print the conditions on the original #1, #2 and #3.

On a pre-printed sheet

Here you will mainly enter the proper adjustment options as to get a perfect print. In general getting a perfect print will take a few tries - first print a AWB as it is, then measure how much text should be moved and enter those values in the printing window. Adjust the values until the print is good enough.

Contacts

It is possible to save contact's information in the program. The simplest way to do it is when editing document: next to some boxes you will notice a contact calendar icon, click it open the contact finder

In the window that appears search or select a contact, or create a new contact by clicking on "New".

eAWB / FWB / Cargo-IMP

As contacts for FWB have to have a very specific format and have many restrictions, contact information for FWBs have to be entered separately. To enter the FWB contact data just use the contact finder as usual, if the FWB data is missing you will get an error message. If you get that error just edit the contact and enter the missing information.

Default data and logos

Next to some boxes you will see a cog/configuration icon which will let you configure default data for that section for that type of document.

In some few documents you can use your company's logo, in such places use the cog/configuration icon to enter a logo. Logos are entered as simple images.

Templates

If you usually create very similar documents, for example for weekly shipments, then it is a good idea to create templates. In the templates you enter the information that is always repeated, then create a new document using a template and the new document will be pre filled.

The simplest way to create a new template is when creating a new document - when creating a new document select the option "Create a new template for this type of document", then enter a name for the template and enter the data that is always repeated. When done click on "Save". Now when you create a new document you will have the option to select that template

To see current templates and edit them use the "Template" option in the main menu.

AWB stock numbers and other numbers

You may load the AWB stock numbers airlines provide you for the program to automatically load them when you create a new AWB. To add new numbers go to the main menu and select the "Stock numbers" option and on the top select "AWB stock numbers"

Click on "Add" to add new numbers, enter the airline prefix and the stock numbers, in here you can enter the numbers one by one or only enter the first and the last number (range).

To use the AWB stock numbers create a new AWB or FWB, enter the airline prefix and if any number is available the "assign on save" option will be enabled and checked. When you save the document a number will be assigned.

To generate numbers for the other type of documents select "Other numbers" on top and modify the next number for each type of document that you would like to generate numbers for. You may enter numbers such as "BL0001".

For other documents than MAWB you can also set the increase, the form to enter the number is for example "BL0001+++7", that will make the number increase by 7. The generated numbers will be BL0001, BL0008, BL00015, and so on.

Reports

It is possible to export reports of AWBs and invoices to an Excel file to be later analyzed. The export feature is available in the main menu in "Tools"

One very important thing related to reports is entering the data properly in the documents. When creating AWBs enter the Carrier's execution date by using the data picker next to the data box. Do the same when entering the date of the invoice. If you fail to do this then AWBs will not be included in the report.

eAWB / FWB / Cargo-IMP

Creation and transmission of eAWB / FWB / Cargo-IMP is supported in AWB Editor. To be able to transmit messages first you will have to register for transmission. To register open the "eAWB/Cargo-IMP" option in the main menu and fill the form. You will be contacted in one or two business days.

Users

In Web AWB Editor multiple users can access the same environment, each one with their own email and password. To manage users select "Configuration" in the main menu and then on top "Users administration"

In there you will be able to invite other users from your organization, as well as removing users.

Administrator users have the ability to: invite other users and delete documents from the trash bin.
